CCS has rapidly expanded services in this area and has taken on a lead role in developing new resources for people who are homeless in South King County.Position DescriptionThe Contract and Compliance Specialist is responsible for supporting the Program leadership team with auditing client records, database systems and procedures, fiscal processes, and administration.Audit and Monitoring Management: Develop and implement an internal file audit plan Conduct monthly, quarterly and annual internal client file audits. Maintain 95% audit accuracyResponsible for follow up on internal file audit deficiency corrections Along with the Program leadership, develop contract monitoring preparation plan and assist with implantation to ensure all monitoring and audits evaluations are passed with no significant findings. Update and train staff on any new compliance requirementsBudget/Financial:Monitor the CCS Accounting Department's financial reports, keeping an internal accounting of all expenditures and receipts.Assist Program Manager to prepare all financial information for contract reporting. The CCS reporting format must be translated and collated for one to understand the rate of overall spending, and to use for reports to our funder.Assist Program Managersto locate and prepare facility, financial and contract information as needed for audits.Fill out check requests for program's expenses. Monitor payments of accounts and communicate with vendorsaboutover payments.Manage client assistance fund disbursement.Data Input/Quality:Confirm enrollment of new clients and referrals into the HMIS andShiftnotesdatabases, ensuring that the information is complete and accurate for each client.Generate reports in HMIS to ensure data quality.Develop systems to collect missing client informationEnsure proper entry records / exit clients from all databases who are no longer using servicesMaintain client records and HMIS consent forms in accordance with agency standards.Support the Program leadership to ensure that client progress notes are maintained and client assessments are current in HMIS.Administrative:Coordinate and purchase supplies for the program sites, resident support and maintenance.Assist with soliciting donations and in-kind gifts.Assist with managingcontract compliance with building owner and their maintenance team, with outside food servicevendor, and other vendors as assigned.Assist to solicit competitive bids for facility projects and ensure compliance with agency procurement and contract process.Maintain all vendor contracts.General Responsibilities:Observe/follow guidelines on confidentiality rights of clients and respect their privacy.Maintain accurate record of hours worked and turn in timesheets on schedule.Attend trainings required of employees as scheduled.Participate as team member in staff and supervisory meetings as required.Contribute to and support a positive, team-oriented, culturally-diverse work environment.Bachelor's Degree or related experience 1 years of experience in contract monitoring, data monitoring, or program managementStrong writing skills. Ability to work independently and with a team.Excellent knowledge of Microsoft 365 ProgramsSignificant knowledge of management of federal grantsValid WA State Divers License and ability to qualify as a driver under the agency's policies.Ability to relate well to staff and residents from a diverse racial, ethnic and/or cultural background.Commitment to developing and safekeeping a workplace, which values and supports a culturally diverse work environment.Ability to travel among work sites Ability to travel for required SSVF trainings Commitment to CCS Mission Statement.Preferred QualificationsMilitary veteran Experience participating in state and federal audits concerning grants
